Purchasing and Implementation Guide for Schools and Institutions
This guide summarises the purchasing process, the validity of usage rights and how the CharacterIX Personality Inventory is implemented together with the consent process, for schools and institutions that have received a price quotation. The Sales and Service Agreement is available as a PDF at the end of this page.
Parties and Roles
The relationship is established between two parties. CharacterIX Eğitim Hizmetleri A.Ş. is the system provider that develops the inventory and provides the reporting infrastructure. The school or institution applying the inventory is the party that actually runs the process, manages participant or parent consent and bears the administrative responsibility for the application. When this division of roles is clearly defined, the process becomes clearer and the risk for institutions is reduced.
Purchasing Process
- Quotation: A price quotation tailored to your institution is sent by e-mail.
- Acceptance: Simply reply to the e-mail quoting the quotation number, or confirm the order via the CharacterIX panel. The quotation does not need to be signed.
- Invoice and payment: The invoice is issued based on the billing details you provide. Payment is made in advance by bank transfer.
- Activation: Usage rights and inventory passwords are activated once payment has reached our account. Passwords are not activated before payment.
All purchases are subject to the Personality Inventory Usage Rights Sales and Service Agreement available on this page. Institutions that require a signed agreement may additionally sign it.
Stamp Tax (Türkiye)
- Quotations accepted without signature, by e-mail or via the panel, are not subject to stamp tax.
- If a quotation is signed by both parties, stamp tax arises and is paid by the parties in equal shares.
- Stamp tax on a Sales and Service Agreement signed with a stated price is paid by the parties in equal shares.
- If your institution is a Turkish public body, stamp tax is paid by CharacterIX as required by law.
Validity of Usage Rights
As long as an application or transaction takes place in your institution account every year, usage rights are not subject to any time limit or limitation period; unused rights carry over to the following years. If no transaction takes place for an uninterrupted period of 3 years, usage rights expire automatically without prior notice. You can track the date of your last transaction and your remaining balance via the panel. Usage rights can be used freely across different units, branches or projects within your institution, and may be transferred to another institution with CharacterIX's approval.
Consent Model: Obtained Once, Valid Throughout
To run applications in a regular and sustainable way, the best approach is not to restart the consent process for every application, but to define the consent obtained at recruitment or student enrolment as valid for the entire period of employment or education. This simplifies implementation, reduces unnecessary bureaucracy and eases the institution's administrative workload.
Institutions add a single standard clause to the employment contract at recruitment; schools add a single standard clause to the enrolment form. Once signed, it is clear that the inventory may be applied annually or periodically, where deemed necessary, for as long as the employee or student remains at the institution.
Participants Under 18
For individuals under 18, consent is given by a parent or legal guardian. The school states clearly on the enrolment form that the CharacterIX Personality Inventory may be applied, and the parent signs this clause. This is done once at enrolment and remains valid for as long as the student attends the school.
Participants Aged 18 and Over
For individuals aged 18 or over, consent is obtained directly from the person. Before an application on the CharacterIX system, the participant is informed, explicit consent is obtained and these steps are stored in the system as log records. These records provide evidence that consent was given and that the process was properly conducted.
Responsibility: Conducting the information and consent processes and keeping the signed documents are the responsibility of the school or institution. The standard clauses below are samples; institutions may adapt them to their own processes and applicable law.
Standard Clause for Institutions
I declare that I have been informed that, within the scope of recruitment, placement, talent management, training needs analysis, organisational analysis, competency development and similar human resources processes, the CharacterIX Personality Inventory may be applied by the institution on my start date and annually or periodically, where deemed necessary, throughout my employment; that I agree to take part in this application; and that I consent to the processing of my personal data for these purposes under the applicable legislation. I understand that I may withdraw this consent in writing at any time.
Standard Parental Consent Clause for Schools
I acknowledge and declare that I have been informed that, within the scope of the guidance, development, training needs analysis, competency development and assessment activities carried out by the school to support the education and development of the student in my care, the CharacterIX Personality Inventory may be applied on the enrolment date and in each academic year or periodically, where deemed necessary, for as long as the student attends the school; and that I give my permission for this application. I understand that I may withdraw this permission in writing at any time.
What the Institution Needs to Do
- Accept the quotation by e-mail or via the panel and complete the payment.
- Add the relevant standard clause to the employment contract or enrolment form and have it signed by the person or parent.
- Keep the signed documents in the institution's records.
Once these steps are completed, the inventory can be applied sustainably without the need to obtain permission again every year.
