Practical Implementation Guide for Schools and Institutions

In order for CharacterIX Personality Inventory applications to be carried out regularly and sustainably in schools and institutions, the most appropriate approach is not to restart the consent process for each application, but to define the consent obtained during recruitment or student registration as valid throughout the period of employment or education.

This approach simplifies implementation, reduces unnecessary bureaucracy, and eases the administrative burden on the institution.

In practice, the core relationship is established between two parties. CharacterIX Eğitim Hizmetleri A.Ş. is the system provider that develops the inventory and supplies the reporting infrastructure. The school or institution applying the inventory is the party that actually carries out the process, manages participant or parental consent procedures, and assumes the administrative responsibility for the implementation. When this division of roles is clearly defined, the implementation process becomes clear and institutional risk is reduced.

The implementation process is simple. Institutions add a single standard clause to the employment contract during recruitment. Schools add a single standard clause to the registration form during student enrollment. Once this clause is signed, it becomes clear that the inventory may be applied annually or periodically whenever deemed necessary throughout the period during which the employee or student remains within the institution. This eliminates the need to obtain permission again every year and standardizes the process.

Implementation for Participants Under 18

For individuals under the age of 18, consent is provided by a parent or legal guardian. Therefore, the necessary step for schools is to clearly state in the student registration form that the CharacterIX Personality Inventory may be applied and to ensure that the parent signs this clause. This is done once during registration and remains valid throughout the time the student remains at the school.

Implementation for Participants Aged 18 and Above

For individuals aged 18 and above, consent is obtained directly from the person. Before the application is carried out within the CharacterIX system, the participant is provided with the necessary information, explicit consent is obtained, and these actions are recorded within the system. Log records are kept for the actions performed. These records provide proof that consent was given and that the process was carried out properly.

What Needs to Be Done in Practice

In this system, the required action is clear for the person reading or implementing the process. During recruitment or registration, the relevant standard clause is added to the appropriate form. The relevant person or parent signs this clause. The institution keeps this document on file. The process is thereby completed.

Standard Clause for Institutions

I acknowledge that, within the scope of recruitment, placement, talent management, training needs analysis, institutional analysis, competency development, and similar human resources processes, the CharacterIX Personality Inventory may be applied by the institution on the date of employment and annually or periodically whenever deemed necessary during my term of employment; I accept participation in this application and declare that I consent to the processing of my personal data for these purposes in accordance with the relevant legislation.

Standard Parental Consent Clause for Schools

I acknowledge that, for the purpose of supporting the education and development processes of the student under my guardianship, the CharacterIX Personality Inventory may be applied by the school on the date of student registration and annually or periodically whenever deemed necessary throughout the period during which the student remains at the school, within the scope of guidance, development, training needs analysis, competency development, and evaluation activities carried out by the school; I accept and declare that I give permission for this application.

What the Institution Needs to Do

The implementation of this text requires the institution to complete three steps:

  1. Add the relevant standard clause to the employment contract or student registration form.
  2. Ensure that the relevant person or parent signs this clause.
  3. Keep this document in the institution’s records.

Once these three steps are completed, the system is administratively finalized and the application can continue sustainably without the need to obtain permission again every year.
